Introduction
USA Down Syndrome Swimming (USADSS) is committed to protecting information and your privacy. As a nonprofit advocating for athletes with intellectual impairment we take every measure possible to protect athlete’s privacy.

USA Down Syndrome Swimming, is the USA National Sports Organization for the Down Syndrome International Organization ( DSISO) and the Sports Union-Down Syndrome (SU-DS). How does USA Down Syndrome Swimming collect information?
USA Down Syndrome Swimming will obtain personal information in a number of ways. This might include:

·       when completing a USADSS application for athletes

·       when entering an event, competition, conference or meeting

·       when making a donation or via a fundraising campaign

·       when elected to or applying for, an volunteer position within the organization

·       when visiting social media pages

USA Down Syndrome Swimming may also receive personal information from third parties where you have given your consent to do so, and subject to the privacy policy of the third party (for example Donation sites like Venmo, SU-DS, our website, etc.)

What information does USA Down Syndrome Swimming collect?
The types of information USA Down Syndrome Swimming collects will be relevant and proportional to the purpose for which it is being collected and may include names, addresses, dates of birth, gender, email addresses, telephone numbers, sport history, medical information relating to classification and eligibility, medical conditions that may affect safe participation in events, credit/debit card or bank account information, and information regarding any criminal record. For athletes who wish to apply to the Down Syndrome International Swimming Organization, USA Down Syndrome Swimming will also collect medical and psychological information to support an eligibility application including providing proof of identity and/or passport verification for International events.

How does USA Down Syndrome Swimming use personal information?
USA Down Syndrome Swimming will use personal information:

·       to provide the information or service a person has requested

·       to uphold the principles of athlete classification and eligibility

·       to ensure compliance with doping control and uphold the principles of fair sport

·       to ensure the successful and safe delivery of events and competition

·       for administration and membership management purposes

·       to further USADSS’s charitable aims and to comply with the law

USA Down Syndrome Swimming will publish certain athlete information (name, nationality, gender, sport and registration status) on the USA Down Syndrome Swimming website and US Athlete Master List which is an essential service. 

USA Down Syndrome Swimming will not share personal information with other third-party organizations unless we have a person's specific consent. USA Down Syndrome Swimming will never sell personal details or the information we hold.

In certain circumstances, and where it is an essential part of providing the service requested (for example event entry or managing athlete eligibility and classification) USA Down Syndrome Swimming may share personal information with specific partner organizations associated with an event including: DSISO, Sport-specific Governing Organizations, Anti-doping Governing Organizations and the Local Organizing Committee for the event entered.

Data Storage and External Processors
USA Down Syndrome Swimming uses third party services to store and manage data and receive payments and donations. We will only use reputable suppliers and ensure that all such services are compliant with the latest security measures and requirements. In the case of personal medical information we also follow HIPAA (Health Insurance Portability and Accountability Act) best practices in document storage and protection.

Use of ‘cookies’ and analytics
‘Cookies’ are small pieces of information sent to a computer and stored on a hard drive when visiting the USA Down Syndrome Swimming website and social media channels. Both cookies and analytics information is non-identifiable. A visitor can change their cookie preferences at any time by amending the settings in their web browser.

This privacy policy applies to the USA Down Syndrome Swimming website only and not to any linked or third party sites. USA Down Syndrome Swimming does not pass on any personal information to any other site when following a link.

Data Retention
USA Down Syndrome Swimming takes appropriate measures to ensure that the information we hold is kept secure, accurate and up to date and kept only for so long as is necessary and for the purposes for which it is used. When data is destroyed, it will be destroyed securely in accordance with best practice at the time of destruction. For some legal processes and essential services (such as information regarding athlete eligibility, doping control and competition results) it is necessary to retain data indefinitely.

Consent
USA Down Syndrome Swimming will clearly state in any website, document or form when requesting consent to provide personal data, including sensitive personal data such as eligibility and medical evidence. This will be done clearly and unambiguously and will state the purposes for which it is needed. By consenting, a person is agreeing to the use of any information provided for the stated above purpose and in accordance with this privacy policy. The USADSS application requires informed consent from both the athlete and parents/guardians. 

Changes to this policy
USA Down Syndrome Swimming reserves the right to amend this privacy policy at any time, and will post notice of the change on the website.
